Project management of major conference components at global industry events.
1 | New Website
Time for a website refresh! Concentrating on quality, timeline and budget, I kept the design, development and implementation of a new website rolling smoothly.
Project stakeholders included internal team members and management, designers, developers, copywriters.
Once the site was built on the back-end, I then changed hats to review/proofread copy then build and test pages (and make sure we didn’t forget any!).
2 | Event Signage: Wayfinding, Branding, Promotional
Starting with gathering a list of items from internal team members, I then manage identifying elements and creating copy; moving specs and requirements to the design team, internal reviews and approvals, securing final files and getting everything delivered to the production team on time.
This project always includes last-minute additions and changes.
I've repurposed many signage files for our booth at partner events. Having access to the native files (InDesign, Illustrator, Photoshop) allows me to resize, change copy and elements, and generate print-ready files without design agency costs.
3 | Attendee Information Book
Content includes important information, program, innovator pitch company information, maps, sponsors, ads.
This important event resource involves coordination with internal teams to collect the proper assets and a lot of reminders (along with a fair amount of nagging!) to keep the timeline on track.
I create the first draft (InDesign) that is then passed off to the design team; obtain multiple reviews/approvals; identify, negotiate and manage the relationship with the printer to ensure the timeline and budget stay on track; and hold my breath when I arrive onsite and pull that first book out of the box!
4 | Program Templates
A long-standing problem was making sure that the program information printed in our event books was the most accurate and up-to-date version. Myriad changes occurred regularly (session times, speakers, room assignments) and combined with human error to cause many hours of proofreading and double checking.
We found Canon, a vendor that would feed our Salesforce information (the master details) into a custom template, then output the information into a PDF that the designers could then drop into the book file. I managed each template project: defining the field mapping (template fields to Salesforce data), specifying data rules, testing and utilizing the templates for each event.
I worked with the Canon team and representatives to get the project up and running, then continued the relationship with subsequent templates, troubleshooting and price negotiation. A total of 13 templates were created.
These templates saved us hours of work.
